Swoop is a product of WelcomeMat Digital LLC ("WelcomeMat", "we", "our"), a limited liability company based in Sammamish, Washington, USA. Swoop is an SMS service that auto-replies to missed calls on behalf of small home-service businesses ("Subscribers") such as plumbers, electricians, HVAC pros, landscapers, and cleaners.
This policy explains what data we collect when an end user (the person who called a Swoop Subscriber) receives an SMS reply from Swoop, and how we handle it.
Swoop sends an SMS reply only when a phone number has placed an inbound voice call to a Swoop Subscriber's business line and that call was not answered. The act of calling a published business number — and the business's pre-disclosed practice of replying to missed calls via SMS — constitutes the consent basis for the initial outbound text. This pattern is consistent with FCC and CTIA guidance for conversational and transactional messages tied to a customer-initiated interaction.
Every initial Swoop reply identifies the Subscriber business by name, identifies Swoop as the messaging system, and includes STOP (unsubscribe) and HELP (support) instructions in compliance with U.S. carrier rules and the TCPA.
We do not collect: your name (unless you share it), your address (unless you share it), your location, your contacts, or any data from your device.
The Subscriber business you called can see the full conversation in their Swoop dashboard. WelcomeMat staff may access conversation data to provide support or investigate abuse. We use Twilio as our SMS carrier; Twilio sees message content as part of message delivery, governed by their own privacy policy at twilio.com/legal/privacy. We use OpenAI's API to generate AI replies; message content is sent to OpenAI for the sole purpose of generating a response and is not used by OpenAI to train models, per OpenAI's API data policy.
We do not sell, rent, or share your phone number with marketers, data brokers, or unrelated third parties.
You can opt out of receiving further Swoop messages from a Subscriber at any time by replying STOP to any Swoop message. We will send a single confirmation and will not message you again from that Subscriber. Reply HELP for support contact information. You can also email us at hello@welcomematdigital.com to request removal of your data.
Message and data rates may apply, depending on your mobile plan. Messaging frequency varies based on how often you call the Subscriber business and reply to Swoop messages.
Conversation history is retained for 12 months from the last message, then deleted. Aggregated, anonymized usage data may be retained longer for product improvement. You can request earlier deletion by emailing hello@welcomematdigital.com.
We use industry-standard encryption (TLS 1.2+) for data in transit and at rest. Access to conversation data is restricted to the relevant Subscriber business and a small number of authorized WelcomeMat staff. No system is perfectly secure, but we follow accepted practices to protect your information.
Depending on where you live, you may have the right to access, correct, or delete the personal data we hold about you, and to object to or restrict certain processing. To exercise these rights, email privacy@welcomematdigital.com. We will respond within 30 days.
We may update this policy as our service evolves. The "Last updated" date at the top reflects the most recent change. Material changes will be communicated via the Swoop dashboard to Subscribers and, where required, via SMS or email to end users.
